Vertiqa vs HubSpot: Which CRM Fits a Service Business?

Picture a Thursday in late October. You’ve spent two hours in a crawl space, the homeowner finally signs off on the bigger heat pump, and you tell her she’ll have pricing by Monday. Then you’re back on GA-400 and a number you don’t recognize starts ringing. Hands on the wheel. Voicemail. By Friday morning the Monday promise is fuzzy, and the caller? Already booked with the guy down the road.

HubSpot comes up in almost every sales call we have. People ask if we’re “a HubSpot alternative,” and the fair answer is that it depends on what you use HubSpot for. It’s a terrific marketing platform, and thousands of companies live in it. It was also designed for teams who spend their day in front of a monitor, which isn’t how most service businesses work.

Vertiqa was built for the owner who’s on a ladder at 2 p.m. and doing paperwork at 10. Below you’ll find a feature rundown, what five seats cost in year one, and a section on when we’d tell you to keep HubSpot (there are a few).

The short answer

Where do your best customers come from? If the answer is your blog, Google, or Facebook ads, HubSpot makes a lot of sense. If it’s the phone, word of mouth, and quotes you have to chase, you’ll get more out of Vertiqa. You’ll also pay less for it once automation enters the picture.

What each platform was built to do

HubSpot

HubSpot was founded in 2006 as an inbound marketing company, and marketing is still its center of gravity. Today the product is sliced into five hubs, each with four pricing tiers. That’s twenty combinations, if you’re counting. The automation most small teams are after (sequences, workflows) generally kicks in at Professional. To be fair, the app marketplace is huge, and nobody does content and SEO tooling better.

The part people underestimate: HubSpot only knows what someone tells it. A rep logs the call, a manager writes the sequence, a marketer builds the workflow. At a six-person HVAC company, all three of those people are usually the owner, and he’s doing it at 9 p.m.

Vertiqa

Vertiqa handles the front office and the back office in one place: CRM, scheduling, an AI receptionist, quotes, invoices, service requests. Calls, texts, bookings and meetings drop onto the customer’s timeline without anyone copying them over.

A phone call is the easiest way to show it. You hang up, and before you’ve even backed out of the driveway you record twenty seconds: “Talked to Dana, she wants the two-zone system, send pricing by Monday.” Vertiqa works out that Dana is Dana Ruiz, logs the call on her record, sets a Monday follow-up, and drafts the pricing email. You read the draft and tap approve. If Dana hasn’t written back by Wednesday, she shows up on your list again.

Where Vertiqa has the edge for service businesses

1. Follow-up without the typing

Ask most CRMs how to stop dropping follow-ups and the answer is more fields. That works great when a sales manager reviews the pipeline every Monday at 8. Most owners don’t have that person.

Tell Vee what happened after the call. Review the note and next task it prepares, then confirm the changes. Here is how Lucia describes the visibility Vertiqa brings to her business:

“I knew I was doing a lot of things, but I couldn't see what I was doing. When I joined Vertiqa, I was able to see it, especially my pipeline of opportunities. I was able to project the value of my pipeline.”

Meanwhile Vertiqa is watching every open thread, so a prospect who goes silent after a proposal doesn’t quietly vanish from your radar. Could you rig up something similar in HubSpot? Yes, with sequences. You’d need the Professional tier, though, plus an afternoon or two to build them.

2. Your phone gets answered, even at 9 p.m.

The AI receptionist is an optional add-on. It answers calls, asks qualification questions and books a time when appropriate, then logs the conversation in the CRM. Review the included minutes and metered usage before adding a line.

Cost: $10 a month per line. Thirty minutes of talk time come included, and it works on any plan. HubSpot does have an AI customer agent, but chat and email are its home turf. It requires Professional or Enterprise, eats usage credits, and the voice piece is brand new.

3. One price, no ladder to climb

HubSpot’s sticker price looks friendly. Sales Hub Starter is $20 a seat, sometimes less on an annual deal. What you don’t get at Starter is sequences, workflows, or round-robin scheduling. For those you’re moving up to Sales Hub Professional at $100 a seat, plus a required $1,500 onboarding fee. Want marketing automation too? Marketing Hub Professional starts around $890 a month, and yes, it has its own onboarding fee.

Vertiqa has exactly one plan: $29 per user per month. Unlimited workflows, 2,000 AI credits per person, every feature we make. Nothing to upgrade into later, and no setup charge.

4. Jobs, quotes, and invoices on the same record

For a service company, signing the deal is when the work starts. Somebody schedules the install. Somebody sends the quote, then the invoice. Six months later there’s a service call, and a year after that, a renewal. HubSpot splits those up: ticketing is in Service Hub (a separate subscription), quotes and payments need a paid plan, and project tracking amounts to a task list.

Vertiqa keeps all of it on one customer record, along with a client portal and a document vault. Clients can enter their details and upload documents through the portal.

“We quickly saw all the value it brought, and it has become more than just a CRM system for the business.”

5. AI that checks with you first

Vertiqa’s AI agents pick up calls, handle outreach, and field quote requests. You can also ask it plain questions, like “Which September proposals never got a reply?” And if your team already lives in Claude or ChatGPT, MCP lets you plug either one into your Vertiqa data.

What it will never do is email a customer on its own. Every outbound message waits for a human. That was a deliberate choice on our part. You’ve spent ten years earning a client’s trust, and an automated email at the wrong moment shouldn’t be able to undo it.

Year-one cost for a five-person team

So what does this cost a five-person team that wants automated follow-up? Here’s year one, using each company’s published list prices as of October 2026.

Year-one cost for a five-person team: Vertiqa vs HubSpot Sales Hub Professional
Per-seat price$29 per user per month$90 per seat per month (annual commitment)
5 users, 12 months$1,740$5,400
Required onboarding fee$0$1,500
AI phone answering (1 line)$120 ($10/mo add-on)Not included in seat price; AI agent runs on usage credits
Service tickets and client portalIncludedRequires Service Hub
Year-one total$1,860$6,900+

Call it about $5,000 in Vertiqa’s favor, before you add whatever extra HubSpot hubs you’d need for service tickets or a client portal. We left out taxes, overages and promos. Prices change, so please check both pricing pages before you sign anything.

Fair point: HubSpot Starter costs less. Five seats are roughly $1,200 a year at list (cheaper with the current promo), and it’s a decent home for contacts and deals. Just go in knowing that without sequences or workflows, follow-up comes down to somebody remembering.

When HubSpot is the better choice

You should probably stay with HubSpot if:

  • Most of your new business comes from content, SEO, and paid ads
  • You have a marketing team building campaigns every week
  • You rely on specific apps from HubSpot’s marketplace
  • Your company already standardized on HubSpot and the seats are paid for

If you checked a couple of those boxes, HubSpot is the better buy. We don’t do blogging, SEO tools or ad attribution, and we’re not going to pretend otherwise.

When Vertiqa is the better choice

  • Most of your new business starts with a phone call, a referral, or a site visit
  • You or your team spend more time on the road than at a desk
  • Leads are going to voicemail or going cold after a proposal
  • You’re paying separately for a CRM, a scheduler, an answering service, and a task tool
  • Nobody on your team has time to keep a CRM updated by hand

Switching from HubSpot to Vertiqa

Most teams are live within a day. Vertiqa ships with industry setups, so an HVAC company opens it to an HVAC pipeline, not an empty screen. Point your website forms at Vertiqa on the first day and new leads keep flowing while you bring the rest across.

Still on the fence? Grab a 30-minute call with our team. If Vertiqa isn’t right for how you work, we’ll say so.

Frequently asked questions

Is Vertiqa a HubSpot alternative?

For most service businesses, yes. Contacts, deals, email, forms, follow-up: Vertiqa covers all of it. It’ll also answer your phone and handle scheduling, quotes, invoices and service requests. The piece it doesn’t touch is HubSpot’s content marketing side (blogging, SEO, ad attribution).

Is Vertiqa cheaper than HubSpot?

Once you need automation, by a lot. Vertiqa is $29 a user with everything included. HubSpot’s sequences and workflows start at Sales Hub Professional, which is $100 a seat plus a $1,500 onboarding fee. For five people, that’s about $1,860 versus $6,900 or more in the first year.

Does HubSpot have an AI receptionist?

Sort of. HubSpot’s AI customer agent is mostly for chat and email, needs a Professional or Enterprise plan, and runs on credits. Voice support is new. Vertiqa’s receptionist is $10 a month per line on any plan and picks up 24/7.

Can I try Vertiqa before switching?

Yes. Thirty days, every feature, no credit card. Or call (678) 716-4200 and hear what the AI receptionist sounds like.

Will Vertiqa email my clients automatically?

No. Vertiqa drafts. You decide what goes out.

So which one should you pick?

If content and campaigns drive your growth, HubSpot is worth every dollar. If your business runs on phone calls, quotes and customers who come back year after year, Vertiqa will cost you less and take more of the follow-up off your plate.
