This Privacy Policy explains how Vertiqa, Inc. (“Vertiqa,” “we,” “us,” or “our”) collects, uses, discloses, and protects personal information when you visit our websites, create an account, or use the Vertiqa application and related services (collectively, the “Service”).
This Policy is a notice about our practices, not a request for consent to every use described below. Additional notices or choices may apply to particular features or jurisdictions.
Vertiqa generally decides how to use information about our website visitors, account holders, billing contacts, and people who communicate directly with us. Depending on applicable law, we may be a controller or business for that information.
Organizations also use the Service to manage information about their own customers, prospects, employees, and other contacts (“Customer Data”). For Customer Data, the organization ordinarily decides why and how the information is used, and Vertiqa processes it on the organization's instructions as a processor or service provider. If you are an individual whose information was placed in Vertiqa by one of our customers, that organization's privacy notice also applies and it is usually the best contact for your request.
Names, email addresses, phone numbers, login and authentication details, organization information, role and permission information, subscription details, and communications with our support or sales teams.
Information submitted to the Service, such as contacts, accounts, messages, documents, forms, notes, tasks, calendar details, workflow inputs, call or voice content when an enabled feature uses it, and other materials selected by a customer.
If you connect email, messaging, calendar, telephony, file, CRM, or other services, we receive the information and authorization details needed to provide the integration, subject to your settings and the provider's terms.
IP address, browser and device type, pages or features used, timestamps, referring pages, approximate location derived from IP, cookie or similar identifiers, and security, performance, and error logs.
When a customer enables supported communication features, Vertiqa may process delivery, open, and link-click signals to provide engagement information to that customer. Available controls and lawful-basis requirements may vary by recipient and region.
We collect information from you, your organization and its administrators, connected services you authorize, service providers, and automatically through use of the Service.

Some enabled features send the information needed for a request to commercial AI or speech-processing providers. Vertiqa uses Customer Data for these features to provide the requested output and related safety, evaluation, and reliability functions. AI-generated drafts and recommendations remain subject to human review in supported workflows.
Vertiqa does not use Customer Data to train generalized models. Our providers process information under their applicable commercial terms and configured data controls. Providers used for enabled features may include Microsoft Azure services, Azure OpenAI, OpenAI, Anthropic, Azure Speech, and IBM watsonx.

When we process Customer Data for an organization, that organization determines the appropriate legal basis for its collection and use.
We disclose information to vendors that provide hosting, storage, authentication, security, analytics, advertising, customer support, communications, payments, and AI or speech processing. They may process information only for the services they provide to us and subject to contractual restrictions.
Information may be visible to authorized members and administrators of your organization. We also disclose information when you or your organization directs us to connect or send it to another service or recipient.
We may disclose information when reasonably necessary to comply with law or legal process, protect rights or safety, investigate misuse, or support a financing, merger, acquisition, reorganization, or sale of assets. We use appropriate confidentiality protections where practical.
Vertiqa does not receive money in exchange for personal information. Our use of analytics and advertising services on marketing, signup, and some product surfaces may be considered “selling,” “sharing,” or targeted advertising under certain U.S. state privacy laws. Where those laws apply, you may request to opt out by contacting us at the address below. We do not knowingly sell or share personal information of individuals under 16.
We use strictly necessary cookies and similar technologies for authentication, security, preferences, and core functionality. Our public marketing pages and the signup flow also use Google Analytics, Google Ads, and PostHog to understand usage, measure signup and marketing performance, and improve the Service. These providers may receive device, usage, cookie, and approximate location information. Signed-in product pages do not load these third-party analytics or advertising tools.
You can limit cookies through your browser or device settings. Blocking necessary cookies may prevent parts of the Service from working. You may also contact us about rights to opt out of targeted advertising or similar disclosures where applicable law provides them.
We retain information for as long as reasonably necessary for the purposes described in this Policy. Retention depends on the type of information, customer instructions and settings, account status, security and backup needs, legal obligations, and the time needed to resolve disputes or enforce agreements.
When information is no longer needed, we delete or de-identify it where reasonably practicable. Some information may remain for a limited period in backups, security records, or records we must retain by law.

No method of transmission or storage can be guaranteed completely secure. If you believe an account or information has been compromised, please contact us promptly.

Rights are subject to applicable exceptions, and we will explain a denial where required. If Vertiqa processes the information for one of our customers, we may direct your request to that customer or assist it in responding.
An authorized agent may submit a request where applicable law allows it. We do not require identity verification for an opt-out request where applicable law prohibits that requirement, although we may ask for limited information needed to match the request to the relevant person, browser, or device.
You can unsubscribe from marketing emails using the link in the message. Essential account, security, and transactional communications are not marketing and may continue while your account is active.
Vertiqa operates from the United States and uses providers that may process information in the United States and other countries. Those countries may have different data-protection laws. Where required, we use contractual or other recognized safeguards for international transfers.
Vertiqa's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including its Limited Use requirements.
The Service is not directed to individuals under 18, and we do not knowingly collect personal information directly from children. If you believe a child provided information to us, please contact us.
We may update this Policy as our Service or legal obligations change. We will post the updated Policy and revise the “Last Updated” date. If a change materially affects how we use information, we will provide additional notice when required and seek consent where applicable law requires it.
