Fix common Vertiqa connection problems

What the organization error, bracketed error codes, missing tools, empty results, and partial imports mean when using Vertiqa from ChatGPT or Claude, and how to clear each one.

Most problems with the Vertiqa connection are one of a handful of things. Each one below shows what you will see and what clears it.

"You belong to multiple organizations and no org_id was provided"

You are a member of more than one Vertiqa organization, so the connection will not guess which one to act in. The assistant should follow up by listing your organizations. Answer with the one you mean:

Use the Vertiqa organization, and keep using it for the rest of this
conversation.

Naming the organization in your opening message avoids the round trip entirely. Do it every time you start a new conversation — the choice does not carry over.

"You are not a member of the requested organization"

The organization that was passed is not one of yours. Ask the assistant to list your organizations again and pick from that list rather than reusing an ID from an earlier chat.

An error in square brackets

Errors like [INVALID_STATUS], [CYCLE_DETECTED], or [STATUS_IN_USE] come from Vertiqa itself, and the message after the bracket says what was rejected. The common ones:

  • An account type was rejected — type must be commercial, residential, or household. Lifecycle words like "prospect" are not valid types.
  • A deal status was rejected — a deal can be set to won, lost, or reopened.
  • A stage or status is in use — you cannot delete something records still point at. Move the records first.

Fix the value and ask again; you do not need to reconnect.

The assistant does not see a tool, or uses an out-of-date one

Both ChatGPT and Claude keep their own snapshot of a connector's tools.

  • ChatGPT keeps an approved snapshot per app. After Vertiqa adds or changes tools, an Enterprise or Edu admin refreshes the app's actions and approves the update. On Business, the app may need to be recreated and published again.
  • Claude connectors cannot be edited in place. If the address changed, remove the connector and add it again.

It keeps asking permission, or refuses to act

Your assistant, not Vertiqa, decides which tools may run. In Claude, open Customize > Connectors > Vertiqa > Tool permissions and set each tool to always allow, ask every time, or never. In ChatGPT, write actions prompt for confirmation and the app's actions must have been approved by a workspace admin.

Leaving create, update, and delete tools on ask every time is deliberate, not a fault — it is what keeps an unattended assistant from writing to your CRM.

Nothing comes back, or fewer records than expected

  • Wrong organization. Ask which organization it used.
  • The records live somewhere you did not name. Leads and deals sit in different pipelines; a request for "opportunities" is not scoped to your Deals board unless you scope it. See Ask for your open deals.
  • The list was paged. Ask for a bigger limit, or "keep going until you have them all."
  • A name did not match. Ask it to search and show the matches instead of resolving the name silently.

An import partly worked

A bulk deal import reports created, skipped, and failed counts along with the first few failures. Skipped records are ones whose external ID already exists — that is the duplicate guard doing its job, and re-running the same import will not create a second copy.

For failures, ask for the failure list, fix those rows, and re-run just those. Account creation happens one record at a time, so if a batch stops partway, ask which accounts were created before you retry — otherwise you will create duplicates.

Sign-in stopped working

The connection uses your Vertiqa account, and the session can expire. Reconnect from your assistant's connector settings and sign in again. Never paste a Vertiqa password, API key, or access token into a chat — the connection does not need one.
