The documents page is the cross-record document library. Files uploaded against a contact, account, opportunity, or job all appear here, scoped through the filter at the top.
What you can do here
- Filter by contact to focus the view. The list is empty until you've picked a contact — it's a contact-first surface by design.
- Search by name with the search box (debounced — typing is fine).
- Upload a document against the selected contact (gated by your upload permission).
- Download any document.
- Rename a document inline.
- Move a document to a different contact or entity.
- Toggle sharing to control whether the contact can see the document in their portal.
- Delete with confirmation.
Why contact-first?
Documents in Vertiqa belong to a record (a contact, an account, a job). The contact filter forces you to scope the view so you're never operating on "all documents everywhere" — that scope is rarely what you want and is easy to mis-edit.
Permissions
The documents library is gated behind the DOCUMENTS_VIEW permission. Upload, rename, move, and delete each have their own permission gates. If a control is missing, your role doesn't have it — talk to an admin.
Tips
- Don't dump every PDF onto the contact. Keep the documents library to things that belong on the customer record (contracts, photos, signed forms).
- Use the share toggle deliberately. A document toggled on is visible in the customer portal — make sure it should be.
