Staffing roles and their CRM records
How Clients, Vendors and Consultants sit on CRM companies and people, and how to create, correct and add to both from one screen.
Three Staffing records are roles rather than identities of their own:
- Client and Vendor sit on a CRM company.
- Consultant sits on a CRM person.
The role carries what staffing cares about — client code, availability, rates, skills, work authorization. The CRM record carries who the company or person actually is — name, website, address, phone, email. One company or person, one set of facts, however many roles it plays.
Creating one
New Client, New Vendor and New Consultant all start with the same question: which company, or which person?
- Use an existing one. Search the companies or contacts you already have and add the role to it. Nothing is duplicated.
- Create a new one. Fill in the company or person alongside the role, and both are created together in a single step — never a half-made company with no role, or a person nobody can find.
The fields offered when you create a new company or person are the same ones CRM offers, so nothing has to be finished later on the CRM page.
New Consultant opens as a full page at /staffing/consultants?action=create
rather than a drawer, because it is the widest form in Staffing. The URL is
shareable and survives a reload, and cancelling returns you to the list.
Correcting one
Edit on a Client, Vendor or Consultant record shows two sections:
- The role's own staffing fields.
- Company fields (CRM) on a Client or Vendor, Person fields (CRM) on a Consultant — labelled that way because they are CRM's fields, shown here so you do not have to leave to fix a typo.
There is one Save for both. Behind it they are still two separate saves, so if one half is refused the form stays open, tells you which half landed, and keeps your typing in front of you to retry.
Consultant edit is also a page, at ?action=edit on the consultant's record.
What you may not be able to change
- Changing the CRM half needs the CRM permission for it — company editing for Clients and Vendors, contact editing for Consultants. Without it those controls are read-only from the start, rather than refusing your save after you have typed.
- The Consultant's bill rate, pay rate and work authorization are ordinary staffing fields. Anyone who can read the Consultant can see them; anyone who can manage the Consultant can change them.
- Date of birth is not shown or editable on any Staffing surface.
Adding people at a client or vendor
A Client and a Vendor record both carry a Contacts card listing the people at that company. From it you can:
- Add a new person — this creates a CRM contact attached to that company, with the same fields the CRM contact form uses, including any custom fields your administrator has added.
- Link existing — attach someone the CRM already has.
Either way the person belongs to the company, not to the staffing role, so they are there for everyone who works that account.
One company, two roles
A firm that buys from you and also supplies you carries a Client role and a Vendor role on the same company. That is deliberate. Give it both roles rather than creating a second company — the two roles hold different work, and the company's details stay in one place.
